Start here

  • How rapidco is organisedThe CRM is a workspace for your company. The left menu is the work. Your public site, if you turn Website on, lives under /site on your subdomain.
  • Sign in, password, and MFAStaff sign in with email and password. First-time invited people use Forgot password to set one.
  • Turn modules onCompanies, Portal, and Support Desk are always on. Sales, Projects, Documents, Meetings, Appointments, Customer Billing, Invoices, Website, Reports, Automation, Bookkeeping, and Transfer are optional.

Companies

  • Companies and contactsEvery client, vendor, and sub-contractor is a company. Projects, sales, tickets, and invoices hang off that company.
  • People on a companyContacts belong to a company. Project owners and assignees are chosen from these people (plus your own staff contacts).

Sales

  • Sales pipelineOpportunity → proposal (quote) → send to the portal → accept → contract and project.
  • Proposals and contractsA proposal is the numbered quote. A contract is the accepted agreement.

Projects

  • Create a projectA project is delivery for one client company. Create it from Projects, or from the company page.
  • Write the project scopeScope is the agreed work. It lives on the project Overview, not in a separate document unless you also file one under Documents.
  • Tasks on a projectTasks are the checklist for delivery. They sit on the project page under Tasks, optionally grouped by phase.
  • Phases, roadmap, and GanttPhases are named slices of the plan (Discover, Build, Launch). Tasks sit in a phase. You set how long each phase lasts; that drives the roadmap.
  • Notes, files, links, subcontractorsThe rest of the project page is working material, not the legal contract.
  • Finish a project and open a follow-upDone means the original plan is closed. Extra work is a new project linked as a follow-up (kind Fix).

Documents

  • Documents and templatesNumbered files (proposals, reports, letters) with optional templates, versions, and portal sharing.

Client portal

  • Client portal (staff view)Staff see all portal threads. Customers only see their company’s messages, documents, and invoices.
  • Client portal (customer)Customers land on /portal: messages, shared documents, invoices. They never see the CRM menu.

Support

  • Support deskTickets for client work. Optional public intake if another website should open tickets in this workspace.
  • Support requestsThe envelope opens a request. Choose this workspace’s Support Desk, or rapidco app support for product issues.

Meetings

  • MeetingsInternal agendas, participants, recurrence, and actions. This is not the public booking page.

Appointments

  • Appointments and public bookingVisitors book at /site/book. Staff book from the week view. Owner hours are the ceiling.
  • Linked workspacesTwo business-owner workspaces share a long key, then book each other’s free times. No CRM data is shared.

Billing

  • InvoicesDraft client invoices from a company, with lines, VAT, PDF letterhead, and a structured XML file. Issued invoices cannot be edited.
  • Customer billingInvoices for client companies. This is not internal bookkeeping.

Bookkeeping

  • BookkeepingYour income and expenses, categories, and export — for your firm, not the client’s invoice list.

HR

  • HR and applicationsStaff review CVs sent from the public careers page. Job ads stay under Website.

Leave

  • Leave (vacation planner)Staff request vacation, sick leave, unpaid time, parental leave, or special leave. A manager or HR approves, depending on the type.

Calendar

  • Company calendarA shared month view of approved leave, confirmed appointments, meetings, website events, and public holidays.

Website

  • Website moduleOwners and admins edit the public site from Website in the account menu. Visitors see it at your subdomain /site.
  • Edit and publish a pageEach page has a slug, title, and body. Publish when it should go live.
  • News, events, and linksEditorial content for the public site. Nothing shows publicly until you publish at least one item of that kind.
  • Public site, contact, and bookVisitors use your slug.rapidco.de (or a verified custom domain). Apex rapidco.de is marketing, not your company site.

Team

  • Invite the teamStaff are members of the workspace. Customers are portal users on a company, not staff.
  • Roles and who can open whatOwner and Admin see everything. For Staff, the owner ticks which areas each extra role may open.
  • Your profileEveryone can open their own profile even if they cannot open Team.

Settings

  • BrandingColour, font, and logo for the CRM chrome and the public site.
  • Custom domainsServe the public site on your own hostname after DNS verification.
  • Workspace settingsLocale, legal name, storage, MFA policy, Quick Launch limit, role access, and transfer.
  • Export and import a workspaceOwners can export JSON and restore into a new workspace. This is a copy, not disaster recovery.
  • Reports and automationOptional operator tools. Open them from the account menu when the modules are on.
